We are gearing up for a very exciting period in our long history and currently have an opening for a full time Assistant Director of Financial Services at our San Jose Campus.
OVERALL VIEW:
The position of Assistant Director of Financial Services (Asst DFS) is responsible to provide support to the Director of Financial Services (DFS) for the management of student funds in compliance with all federal, state and institutional policies and procedures. In some campuses, the Asst DFS may function and perform the role of the DFS.
PRIMARY DUTIES AND RESPONSIBILITIES:
The Assistant Director of Financial Services is responsible for ensuring the following activities are carried out in an effective and efficient manner:
• Ensure and Maintain compliance of Heald College’s standard policies and procedures in the functional areas of Finance at the campus
• Timely processing of cash collection from the below:
o Outside Agencies
o Students
• Timely processing (as defined by Federal regulations) of the return of Title IV funds
o Creation and mailing of Check to Lender/Government Agencies
o Creation and sending of Refund Letter to Lender/Government Agencies/Students
o Place copy of check and refund letter in Student Files
• Review Group Fund Detail Report and notify Financial Aid of any perceived errors
o Process timely return of money in regards to credit balances
o Process timely return of subsistence checks to student where applicable
• Processing of all Accounts Payable and to follow the policies and procedures as defined by Heald Central Administrative Office (CAO) Accounting.
• Perform final reconciliation of student’s account receivable:
End of each loan packaging period.
30 days before graduation date.
15 days after date withdrawal determine.
• Provide assistance with PeopleSoft issues as problems arise to help keep the workflow moving in the functional areas of Finance at the campus
• Work with Financial Aid to clear up any COD monitoring alerts (eg. Unsubstantiated cash, discrepancies in reconciliation)
JOB SPECIFICATIONS:
• At least 2 years of operations and financial management experience.
• Student Financials functional experience along with an understanding of People soft Student Financials business operations is preferred.
• Experience of theoretical accounting knowledge
• Ability to meet tight deadlines and work in a fast-paced, multi-task environment
• Strong skill in oral presentations and written communications.
• Ability to work efficiently and independently.
• Strong customer service orientation.
